Becoming a landlord in Ontario for the first time is exciting — and more regulated than most people expect. The decisions you make in the first few weeks of a tenancy set the foundation for the entire relationship. Here is a practical checklist for first-time landlords.

Before Selecting a Tenant

Run a credit check and ask for references — including at least one previous landlord if possible. Verify income documentation. Know the Human Rights Code and understand which screening criteria are permissible. Document your screening process so you can show it was applied consistently and without discrimination.

Before Signing the Lease

Use Ontario’s Standard Lease Agreement. Complete it fully — leave nothing blank. Attach any additional terms as a schedule. Know what terms are and are not enforceable under the RTA. Collect a last month’s rent deposit (not a damage deposit — those are not permitted). Confirm the deposit is properly documented.

At Move-In

Complete a detailed move-in inspection with the tenant. Photograph every room, every wall, every appliance. Have the tenant sign the inspection report or acknowledge it in writing. This is the baseline against which the condition of the unit will be measured at the end of the tenancy. Skipping this step makes damage claims very difficult.

During the Tenancy

Respond to maintenance requests in writing and document your response time and actions. Give proper written notice before entering the unit. Keep a rent payment record for every month. Renew the lease properly or let it convert to month-to-month — understand what each option means. Raise rent only with proper notice and within guideline limits.
